As we continue to expand our portfolio, we’re seeking a detail-oriented and proactive Administrative Assistant to support operations across all entities and work closely with executive leadership.


Position Overview

The Administrative Assistant will provide high-level administrative, scheduling, and organizational support across multiple companies. This role is ideal for someone who excels at multitasking, takes initiative, and enjoys being the organizational backbone of a fast-moving business environment.


Key Responsibilities

  • Provide administrative and executive support to leadership across all three companies
  • Manage calendars, schedule meetings, coordinate travel, and prepare itineraries
  • Draft and edit emails, correspondence, proposals, and reports
  • Maintain organized digital files across business units (OneDrive, DropBox, Google Drive, shared drives, etc.)
  • Track tasks, deadlines, and deliverables across multiple companies
  • Assist with onboarding, vendor coordination, and basic HR/administrative paperwork
  • Prepare meeting agendas, notes, and follow-up action summaries
  • Support marketing, communications, and business development activities
  • Maintain a high level of professionalism and confidentiality
  • Assist with special projects and new company onboarding as the holding company grows

Qualifications

Required:

  • 3+ years administrative or executive assistant experience
  • Strong written and verbal communication skills
  • Excellent organization, prioritization, and time-management
  • High proficiency with Microsoft Office/365 and Google Workspace, clockify, Asana (Outlook, Teams, Word, Excel, PowerPoint)
  • Ability to manage multiple priorities across multiple companies
  • Experience working in a fast-paced environment

Preferred:

  • Experience supporting CEOs or business owners
  • Familiarity with QuickBooks, Gusto, CRM tools, or project management software
  • Experience supporting professional services, telecom, aviation, or consulting environments
  • Strong proofreading skills and ability to draft professional communication
